Which office tasks in the skilled trades can AI take on?
In a trade business, AI helps wherever a text or table is produced from existing documents; on site, it does not replace a single task done by hand. The German Confederation of Skilled Crafts (ZDH) sees AI as a help “for example with quotes, materials planning, documentation or customer communication”. The table shows seven office tasks with the documents you need for them.

An example from the plumbing, heating and air-conditioning trade: for KfW heating funding (programme 458) (KfW is Germany's state-owned development bank), a supply or service contract with a condition precedent or condition subsequent, showing the expected date of implementation, must be in place before the application. According to KfW, if the condition is missing, signing the contract already counts as a premature start of the project, which rules out funding; in addition, the application must be submitted before work starts on site. The specialist company or an energy efficiency expert issues the confirmation for the application and, on completion, the confirmation of implementation. An AI agent can check your contract template against these points; you remain responsible for the confirmations yourself.

What do the ZDH and the chambers of skilled crafts offer on AI?
Chambers of skilled crafts offer AI consultation hours and courses, and the ZDH offers guides and practical examples; the Mittelstand-Digital Centre for Skilled Crafts, by contrast, ended on 30 June 2026. In December 2025, the federal government put out to tender new sector- and topic-specific Mittelstand-Digital centres; whether one for the skilled trades will be among them had not been decided when we checked.

How many businesses use AI depends heavily on the survey. In the representative Bitkom survey of 504 trade businesses from summer 2025, 4 per cent were using AI and 9 per cent were planning to. A snap survey by the Münster Chamber of Skilled Crafts among around 300 businesses, published in February 2026, found about one third to be active users, mainly in administration, office organisation, marketing and sales. Ask your own chamber about dates; many offers are regional.
Which trade software comes with AI features?
Several makers of trade software have built in AI, above all draft quotes, voice reports, telephone assistants and receipt recognition. The table reflects the vendors' statements, as of September 2026. We have not tested the features, and the list is not complete.

Built-in AI knows your master data and writes directly into the program; in return, you can only use what the vendor offers. A separate AI agent works with files you export and suits tasks your software does not cover, such as job costing across several jobs or matching many supplier invoices against the price list.
What applies to data protection for customer data?
AI becomes relevant under data protection law as soon as personal data goes into it, according to the ZDH in its guide of December 2025. A customer's name, address and telephone number are such data, as are photos from their home and your employees' timesheets.
- Leave out the names of customers, suppliers and employees where the task does not need them; a job number is usually enough.
- Conclude a data processing agreement under Art. 28 GDPR with the provider before customer data goes in. What it must contain is explained in the guide DPAs for AI tools.
- Use paid plans instead of free accounts: according to the ZDH, paid pro tools can generally ensure that inputs are not used for further training.
- Do not leave any decision about customers or employees to AI alone.
- Write down a short rule for your business: which tool, which data, who checks.
- Train your staff: since 2 February 2025, Art. 4 of the EU AI Act has required measures on your employees' AI literacy, and since 27 July 2026 it has applied in a new version: the measures are meant to support the development of AI literacy, and the business does not have to guarantee a particular level. What is sufficient is explained in the guide AI literacy under Art. 4 AI Act.

How do you start small?
Start with a single office task that comes up every week and whose correct result you know. Five steps are enough for an honest test.
- Choose a task
For example, quotes for a standard job or matching a month's supplier invoices.
- Prepare the documents digitally
Price list as an Excel or CSV file, standard text blocks as a Word file, enquiries as PDFs or email files. Type up handwritten notes and photos beforehand.
- Test on completed jobs
Take three to five completed jobs whose correct result you know, and compare line by line.
- Count the effort honestly
Writing the task, checking and reworking belong together. Only then will you see whether the task is worth it.
- Record the rules
Which tool, which data, who checks before sending. One page is enough.

Job costing and funding conditions: Biwak in a trade business's office
Biwak suits the office tasks that arise from files; it does not replace your trade software. Frequently asked questions
Can the AI write items directly into my trade software?
A separate AI tool cannot: it delivers text or a CSV file that you transfer or, if your program has an import for it, read in. Calculation, measurements, invoices and number ranges stay in your industry software. Only AI features that the vendor builds in itself work directly in the program.
May I enter customer data into ChatGPT?
Only if you have checked the provider's data processing and concluded a data processing agreement. The ZDH points to paid pro tools, because there it can generally be ensured that inputs are not used for further training. Details are in the guide ChatGPT and data protection.
Can AI read handwritten measurements?
Some tools with image recognition read handwriting; you must check every figure read this way against the original. Biwak does not promise this, as it has no text recognition for photos and scans. Type measurements into an Excel table or use the export from your measuring app.
Do trade businesses have to train their staff in AI?
If you use AI in your business, you have been required since 2 February 2025 to take measures on your employees' AI literacy (Art. 4 AI Act, since 27 July 2026 as amended by Regulation (EU) 2026/1744). The Regulation does not prescribe a particular course, certificate or guaranteed level of competence. A short, documented briefing on the tool, its limits and the checking rules is a good start.
Where can trade businesses get help getting started with AI?
From your own chamber of skilled crafts: many chambers offer courses, consultation hours or practical evenings; the Magdeburg chamber, for example, offers a monthly short AI consultation. The ZDH provides guides and practical examples. The Mittelstand-Digital Centre for Skilled Crafts ended on 30 June 2026.
